1. Application overview
The QuickBooks Automation Application (“the Application”) is a private, internal-use integration developed and operated by Maximum Potential Autism Services Inc. (“we”, “us”). The Application uses Intuit’s QuickBooks Online (“QBO”) API under OAuth 2.0 authorization to read and, where enabled, modify financial records in a single QBO company file at the direction of authorized internal users.
2. Eligibility and authorized use
Use of the Application is restricted to employees, contractors, and officers of the operating organization who have been explicitly authorized by an officer of Maximum Potential Autism Services Inc. and who hold valid administrator or assigned access to the connected QBO company. The Application is not made available to the public, is not licensed to third parties, and is not provided as a service offering.
3. Acceptable use
Authorized users agree to use the Application only for legitimate business purposes of the connected company, including bookkeeping, reconciliation, financial reporting, and process automation. Authorized users will not:
- Attempt to access QBO data outside the scope of the authorized connection;
- Use the Application to circumvent Intuit’s API rate limits, terms, or security controls;
- Share OAuth tokens, client secrets, or other Application credentials outside the authorized organization;
- Use the Application to process data on behalf of any third party not affiliated with the operating organization.
4. Intuit terms
The Application interacts with QuickBooks Online and is therefore subject to Intuit’s Developer Terms of Service and the operating organization’s QBO subscription terms. In the event of any conflict between these Terms and Intuit’s terms as they apply to QBO data, Intuit’s terms control with respect to that data.
5. AI processing
The Application is operated together with Anthropic’s Claude AI assistant. By using the Application, authorized users acknowledge that QBO data passed to Claude during automation tasks will be processed by Anthropic under its applicable commercial agreements. Authorized users are responsible for ensuring that any data passed to Claude is appropriate for that processing context.
6. No warranty
The Application is provided on an “as-is” basis. We do not warrant that the Application will be uninterrupted, error-free, or that financial outputs derived from it are accurate or complete. The connected company’s books of record remain the QBO company file itself; the Application is an automation and analysis tool, not a substitute for professional bookkeeping or accounting review.
7. Limitation of liability
To the maximum extent permitted by law, Maximum Potential Autism Services Inc. will not be liable for indirect, incidental, special, consequential, or punitive damages, or for any loss of profits, revenue, data, or business opportunities, arising out of or related to use of the Application. Direct damages, if any, are limited to one hundred Canadian dollars (CA$100).
8. Termination
An authorized user’s access to the Application may be terminated at any time by an officer of Maximum Potential Autism Services Inc. The administrator of the connected QBO company may revoke the Application’s API access at any time from QuickBooks Online’s “Apps connected to QuickBooks” panel, which immediately invalidates all access and refresh tokens at the Intuit side.
9. Governing law
These Terms are governed by the laws of the Province of Ontario, Canada, and the federal laws of Canada applicable therein, without regard to conflict-of-laws principles. Any dispute arising out of these Terms or use of the Application will be brought exclusively in the courts of Ontario.
10. Changes
We may revise these Terms from time to time. Material changes will be posted at this URL with an updated effective date. Continued use of the Application after a revision constitutes acceptance of the revised Terms.
